Performance Notes

e    All pre-show events happened pretty much on time.

e    7:00 -7:17Shakespeare Youth Co performed

e    8:00 Tom made some pre-show announcements

e    8:04- 9:14- Act I (run time= 1 hour 10 minutes)

e    9:26-9:28- Tom’s intermission Giveaway

e    9:29-10:24- Act II (run time= 56 minutes)

Front of House Report

e    Audience count= 300-350

e    Total donations received for the run=$1165

Sound

e    Conrade’s mic went in and out during the fight scene.

Props

e    None of the candles stayed lit tonight.  It was too windy.

e    Sean added more weights to the trees and topiaries because they kept falling down due to wind.

Other

e    It was hot, humid and windy tonight.  

e    Nathan fell up the stairs after the watchmen tried him up.  Joy got him some ice and he is fine.

e    Strike on Monday and Tuesday

Performance Notes

e    All pre-show events happened pretty much on time.

e    7:00 -7:17Shakespeare Youth Co performed

e    8:01 Bill made some pre-show announcements (he explained what had happened with the set and how awesome John is)

e    8:04- 9:15- Act I (run time= 1 hour 10 minutes)

e    9:26-9:30- Tom’s intermission Giveaway

e    9:30-10:27- Act II (run time= 56 minutes)

Front of House Report

e    I forgot to get numbers from Tom.  I’ll have them tomorrow.  We had a good audience tonight.

Sound/ Lights

e    There were a few mic problems tonight.  Beatrice’s didn’t work in the first scene and Leonato’s had to be switched out a few times.

e    The wrong song started to play for the party set-up transition, it was quickly switched

e    A light cue went early when a finger slipped and hit the button, but it was stopped and restored to the correct cue.

Props

e    All of the candles stayed lit for the first wedding!!  We had about half on them lit for the second wedding

e    2 glasses broke tonight when a servant got lost in the curtain and ran into the wall.

Performance Notes

e    As most of you know, someone hit the set with a truck late Thursday night.  We were able to get it back in place and together in about 2 hours so that we could have a show tonight.  

e    All pre-show events happened on time.

e    7:00 -7:16Shakespeare Youth Co performed

e    8:04 Bill made some pre-show announcements (he explained what had happened with the set and how awesome John is)

e    8:08- 9:19- Act I (run time= 1 hour 11 minutes)

e    9:31-9:36- Tom’s intermission Giveaway

e    9:36-10:32- Act II (run time= 56 minutes)

Front of House Report

e    We received $450 in donations tonight.  Running total =$477

e    Audience count: about 500-550

e    The audience was awesome tonight!  They really seemed to enjoy the show.  They applauded after every scene.  They were great.

Sound/ Lights

e    We had a waltz tonight!!!

e    Conrade’s mic went in and out during the fight scene.  

e    The Friar’s mic wasn’t turned on during the wedding, but Chip was able to pick him up through Leonato and Hero’s mics.  

e    We added a light cue (LQ 63.1) to give Benedick and Leonato light on the Balcony after the last servants transition.

Costumes

e    Borachio has boots!!! And they fit!!!

Props

e    All of the candles stayed lit for the first wedding!!  We had about half on them lit for the second wedding

e    I need to tell Katie to put the acolyte back in the corner when she is done (for the Friar) and to not press down on the candles when she puts the out.

Other

e    The show was awesome!!  Great energy! Great weather!  Let’s do it again tomorrow!!

Performance Notes

e    All the pre-show events happened at their scheduled times.

e    James injured himself with his mace during the pre-show, he cut himself near his eye.  He is okay. 

e    Youth Shakespeare Co. performed for about 16 minutes tonight.

e    We kept a constant eye on the radar and the sky throughout the pre-show, and as most of you know, we called the show at about 7:50.  There was a lightning storm and shortly after Bill announced to the audience that we would not be doing the show tonight, it began to storm.  Everyone helped pack up everything as quickly as possible.

Front of House Report

e    We received $9 in donations tonight ($18 last night) Running total =$27

e    Audience count: about 260

Other

e    The servants practiced their new transition several times around 6:00

e    Joy baked a peach pie tonight.

       Thursday- OPENING NIGHT!!!!

General

       We had a small audience tonight: about 20 people

       We used the ice pack from the first aid kit for Michael because he missed his step and hurt his knee

       Sean took Sarah McGrath to the ER.  She tripped  and twisted her ankle while carrying a basket of costumes down the steps after the show.

       It was a bit windy tonight so there was only one candle lit during the wedding

Props

       The lawn games have been cut.

Sound/ Lights

  • Waltz music was not there, the actors continued the scene as best they could.
  • Some cables came unplugged so the light cue for the transition into intermission wasn’t there.  Chip was able to quickly bring in lights for it.
  • We had problems with the headsets going out tonight.  
  • Several cues were late tonight because of unknown blocking changes.

Costumes

  • 2 notes actors forgot to put on the grief sheets before they went away:
    • Robert’s mask strap snapped.
    • Is there any way to pad or dull the wires on the wedding dress lace?  It scratches up Mairzy’s arm when she catches Hero when she swoons.

       The Party Poles have been cut all together.  Is this ok with you, Kip?  They were too awkward so Jen decided to cut them.  We are keeping the Chinese lanterns on the balcony.

       The cast was told it was very important for them to be on time because of the tightness of the schedule.

       It started to rain 7 minutes before the end if the show- we kept going and then everyone helped bring everything in.

       No glasses were broken tonight

       The tiki torches were cut.

       We use food on Tuesday

Sound

  • A final mic check schedule was created. 

Costumes/Make-up

  • Nicole will be putting together a call sheet for make-up and the cast will receive it Sunday evening.

       If we get rained out tomorrow, we will most likely have rehearsal on Monday.

Set/Props

       Sean- you wanted a reminder for a hot glue gun.  Here it is.

       Kip- we had all of the Chinese lanterns and the curtain tonight.  Everything seemed to work pretty well.  We did have a 3rd glass broken tonight.  It fell off of one of a servant girl’s tray when she was going thru the curtain.  They were told again that they need to be careful and I told them you bought out the Muncie/ Anderson area of them.

       Sean- I forgot to ask Jen if she liked it, but Dogberry handed a tissue to Verges at the end of Act I.  Can you pull yet another handkerchief for that moment?

       Is Conrade not using a gag anymore?  Did this get cut?

Costumes

       We used the masks tonight.  Here are notes from the actors:

-         Monahan- straps need tightened

-         Meier- strap needs re-glued

-         Johnson- needs nose padding

-         Guillaud- Strap needs re-glued

-         Ruston- center strap needs lengthened

-         Lemberg- mask is still really lopsided.

-         Yost and Guillaud are both concerned about their masks fitting with the wigs. 

       If it rains tomorrow, Jen still wants to do a run with the costumes in UT.  This gives us an hour to move them. 

       The sole of William’s is coming off and is currently being held in place by a hair tie.  He said it was because of the extra wetness outside tonight.

General:

       We made it thru the entire show!!!  We had to stop a few times.  I did not get a run time because of these stops. 

       We keep losing people.  Last night was Brittany’s last night and tonight was Greg’s.  Thank you both for everything!!

       We added a person:  Cheri Cook joined the crew tonight as our backstage mic person!!

Schedule:

       Friday- Tech run.  6:00- crew call.  6:30- Actor call, fight call, begin mic checks.  8:00 GO

       Saturday:  1st Dress!!!

Set/Props

       Can we get a handkerchief for Margaret to bring to Hero instead of the terry washcloth?

       Wedding poles with the garland will be set up during intermission.

       The flowers need to be struck during intermission

       The candelabras need to be preset further up and as close to the wall as possible.  (I can show you tomorrow.)

       All Geraniums will be preset onstage.  They will carry on the vases like they did originally.

       Sean and Joy:  Tonight seemed to be less crazy.  You guys are doing an awesome job and it’s only going to get easier

Costumes

       Kay- I left the rehearsal skirts in the room at the museum.  I hope that’s ok.  I can bring them back tomorrow night since that will be the last time we need them. 

       Elliot Lemberg exits stage left with all of the soldiers after the wedding.  This is where he’ll need to change into the sexton.  He will also be getting a mic at this time too.  He has plenty of time to make the change.  Cheri will be there for the mic switch.

       Cue-to Cued the show through page 79.

       Rain procedure changed slightly- they will just call me on my cell and I will let them know since I can’t do the message on my house phone.  If they are concerned about long distance, they will call Jen (silly Dayton area codes)

Schedule:

       Thursday:  we add mics to the mix. We are going to just run the show, stopping when we get to the end if needed.  The cast received adjusted call times for mic checks.

Set/Props

       We never decided what Borachio and Conrade would be eating when they come from the dinner.  Kip said that John and Jen should decide what it is.

       For tomorrow- we need to make sure that we use the padlocks and that the actors know to go to Sean to be unlocked.

       Sean has requested that the actors don’t leave personal items in the way of the props area- nothing in the room and not out where people might trip.  It won’t be as bad when we get the other room Saturday

       Need to make sure the garland for the rails is pre-set behind the balcony during intermission (I know we didn’t really have one tonight)

       Note for me: I need to check the topiaries as a part of my pre-show check to make sure they don’t look weird.

Costumes

       Katie Nathan said she left you a message after the shop had closed.  She’s going to come in @ 4:30 tomorrow unless you want her to come in at another time because she no longer has to work.

Production Meeting Minutes #6

July 5, 2005.  3:05-3:53pm

 

Present: Jen, Christina, John, Kip, Kay, Nicole, Tom, Joy, Brittany, Greg, and Chip

 

Schedule:

       Discussed rain procedures.  If at half hour until call, it is raining, the actors will call my home phone and there will be a message telling them where rehearsal will be at.  If at half hour it is not raining, they should report to the museum. 

       If there is any lightning, we have to stop- Chip will be the judge of that and what is too much rain.

       Monday may be a day off for everyone, not just Equity.

       If needed, we will call people for Sunday.

       Tomorrow (Wednesday) will be a cue-to-cue

       Paper tech followed the meeting and we made it thru the whole show!!

       Wednesday, July 20th – we will be running all pre-show events and this will be the first time we have the Shakespeare Youth Co.

Tech Director /Set/Props

       Next Tuesday will be the first night for food.

       The acolyte is on it’s way

       We tested the watermelon tonight

       We will have garland, Chinese lanterns, and the curtain by Friday

       Kip will not be here Thursday thru Saturday this week.

       John/kip will look at the lower windows and electrical boxes and figure out how to make the pretty- Kip mentioned buying an extra plant for the box.

       There will be plenty of extra batteries for the lantern

Sound/Lights

       Lights are up and focused.  Chip will be pulling gel colors soon.

       Looked at and Jen chose break-up gobos

       The bird sound should be a morning, meadow bird sound effect

       No mics for the guitars, their own wireless mics should pick it up enough.

       Actors need to project

Dramaturg/Managing Director

       Tom will take to someone about getting extra trashcans

       Tom will be purchasing 1 bottle of kids OFF bug spray and 3 regular

       John will talk to stagecrafters that need hours about ushering.  If they do it, the need to do all nights.

       Talked about survey questions

       The Museum will not be open Friday because of the cocktail reception

       During Intertmission, the watch is going to bring me the lantern while they are wondering thru the audience and I’ll take it backstage and set it for the friar.

  • Greg- I found Elliot’s belt, it was in the box where I though it was.

       Benedick asked if the donut could be a croissant instead (easier to eat).  Or we could still use the piece of bread like we talked about- whichever the budget allows.

       For Tuesday- can we have all props over at the museum?  The swords, stocks and lantern are already over there.  Thanks.

Sound

  • Track #8 on the CD I gave you today- in addition to cutting the first 15 seconds of the song, Jen would like it to end at the 1:02 mark.

Costumes

  • The sandals fit McKanna!  
  • I sent the fittings to the cast and told them not to miss or be late.
  • As noted in the prop section above, Beatrice now smokes when she is wearing the 2nd paler floral dress.

Set/Props

       On the downstage left corner step, the wood split where a screw that was toe-nailed to the platform is.  There is a yellow spike-marked “X” next to it.

       Sean- Jen picked out a few bags that she likes- I can show you which ones.  Can you find some leather satchels and bad that are maybe more of a cream color rather than all green (so we don’t clash with the green of the uniforms). 

       Thank you so much for the box for the swords!!!

Costumes

       Can you put some traction tape or do something to the watchmen’s boots so that they aren’t so slippery?  Just don’t do anything to William’s- the slipperiness is a part of his character.

       If you cannot find another Brandy glass, Jen will only have 3 people drink Brandy instead of 4

       At least 2 pieces of gear needs to be smaller and able to be worn over the shoulder with a strap

       Can we have 6 small bouquets for all the women in the wedding, in addition to Hero’s?

       Prop Add: 2 Handkerchiefs.  One for Beatrice and one for Benedick.  They will need to be washed nightly.

       Can we have the swords available at the Museum for rehearsal?

Costumes

       Kyle McKanna wants to juggle fire during the preshow.  Can you pull a period shirt and some pants that aren’t loose and fireproof them?

       Do the watchmen’s costumes have belts?  They need a place to stick their daggers.

       Joe Williams said that his costume consists of canteens, etc.  He was hoping he could start using them in rehearsal if possible.

       If this is alright with you, Kay, Benedick will be taking off his jacket on page 73 and giving it to Don Pedro.  He will the be without a jacket for the garden scene, and will re-enter putting his Jacket on for the last scene.

Fight/Dance

       No swords will be worn during the funeral scene.

Sound

       Don Pedro plays a guitar both times Balthazar sings.  Do we need a wireless mic for that?  Can we do that?  Or do you think his mic will pick it up?

Production Meeting Minutes #5

July 5, 2005.  3:08-3:58pm

 

Present: Jen, Christina, John, Kip, Kay, Nicole, Tom, Joy, Greg, and Chip (phone)

 

Schedule:

       Next Tuesday is our last production Meeting!!!!

        Crew View- July 12.  The crew is called @ 6:30  with a go @ 7:00pm

       First tech is July 13th.  As of right now, all crew is called at 5:00pm and cast at 6:00pm, unless they need more time to get ready for their preshow entertainment.  

       July 14th is the first rehearsal with mics- we will allow an hour for getting into mics and mic check so that everyone knows what they are doing.

Tech Director /Set/Props

       We can use the space tomorrow!!

       John will take over the tables, chairs and benches for use to use.  I will get a key from him tomorrow.

       If Kip can find them, he’ll be using the red curtains from last year

       John will extend the tiki torches to be 7 feet tall.

       Looking into getting an acolyte for lighting the candles

       The pitchers will be metal (2)

Sound/Lights

       The prologue music is 2:35min

       Talked about a special for Hero during the funeral scene

       Jen will be sending an updated music list

       Kay said that you could come to the costume shop to see colors.

Costumes

       John’s looking into getting curtains/dividers for costume change booths.

       Pearl will be wearing her first costume for her pre-show performance

       We’ll be figuring out entrances and exit for costume changes

       Discussed flame-proofing of costumes.

       Decided to cut the train from Mairzy’s party dress

       We will not use the masks again until next week

       Costume shop will be working on uniforms this Saturday

       Kay is pulling a selection of neckerchiefs for the soldiers to wear if they want to.

       Leonato will have a pocket watch.

Choreography

       The fight is coming along

       The scabbards need repairs and paint

       The following people needs noise added to their scabbards: Conrade, Don John, Benedick, Don Pedro

       Approximated time from run: 1hr 18 min (keep in mind we started and stopped and I did my best to stop and start the stop watch at the right places—my guess is that it won’t be that long)

Set/Props

       Can we start using the real glasses?

       Can we have a piece of cloth for Don John to clean his sword with?  A piece of muslin should work.

       Could Greg have 2 belts for swords?  One for Meier and one for Johnson.  They need to be black.

       Masks:  Hero’s mask-strap came unglued.  Kyle Johnson’s mask bent and cracked on the side during the dance.
